Email reply drafts saved in Gmail, ready for you to send
Most emails need a short answer, yet writing them eats your morning. This prompt has your todo.is agent find the emails waiting for your reply, read each thread, and save a reply draft in Gmail that sounds like you. You open Drafts, fix a word or two, and send. Nothing goes out without you.
The prompt
- Look at my Gmail inbox from [TIME RANGE] and find emails where someone is waiting for a reply from me. For each one, read the whole thread and write a reply draft in the same thread. Match my style: [MY WRITING STYLE]. Keep replies under [LENGTH] unless the email needs more. Answer every question they asked. If you need information you do not have, write [ASK ME] in the draft where it goes and list it for me. Use these standard answers when they fit: [MY STANDARD ANSWERS]. Save all replies as Gmail drafts, then send me a list here: who, subject, and a one-line summary of each reply. Do not send anything.
What to change
- [TIME RANGE]: e.g. "the last 2 days" or "since Monday".
- [MY WRITING STYLE]: e.g. "friendly but short, first name, no exclamation marks, sign off with Best, Elena". Or say "learn it from my last 20 sent emails".
- [LENGTH]: e.g. "80 words".
- [ASK ME]: Keep it as is: your agent leaves this marker where it needs your input.
- [MY STANDARD ANSWERS]: e.g. "my rate is 90/hour, I am free for calls Tue and Thu afternoons, invoices are due in 14 days".

- Example draft (in the Jordan Lee thread)
- Hi Jordan,
- Thanks for reaching out. I can do a kickoff call on Tuesday at 14:00 or Thursday at 15:00. Let me know which works and I will send an invite.
- Before we talk, could you share the brief or any examples you like? That way we can use the call for decisions.
- Best,
- Elena
- Example draft (in the Hannah Weber thread)
- Hi Hannah,
- Thanks for the details. My rate is 90 per hour. For a brochure of [ASK ME: number of pages] pages, including two rounds of edits, I would estimate 10 to 14 hours. I can start next week.
- Best,
- Elena
- To finish
- • Add the page count for Hannah
- • Add Sam's email for Ivy's intro
How to do it with todo.is
- Connect your Google account in todo.is so your agent can read Gmail and save drafts.
- Copy the prompt, describe your style or let your agent learn it from your sent emails, and add your usual answers.
- Paste it into todo.is or send it to your agent on Telegram or WhatsApp.
- Open Gmail Drafts, fill in any [ASK ME] spots, edit as you like and send.
- Make it daily by adding "every weekday at 9:00" to the prompt.
Tips for a better result
- Your standard answers do most of the work: rates, availability, payment terms, where to park. Write them once and your agent remembers them.
- Ask the agent to learn your tone from your last 20 sent emails. Drafts sound much more like you.
- Keep the [ASK ME] marker. It stops the agent from guessing facts like prices or dates.
- For tricky emails (complaints, negotiations), ask for two versions: one firm, one softer.
email reply drafts: FAQ
- Can AI write email replies in Gmail? Yes. With Google connected, your todo.is agent reads the thread and saves a reply as a Gmail draft in the same conversation, so you can review and send it.
- Will the agent send emails for me? No, not with this prompt. It only saves drafts. If you ever ask it to send, it asks for your approval first.
- How does it match my writing style? Describe your style, or ask it to read a sample of your sent emails. It copies your greeting, length, sign-off and level of formality.
- What if a reply needs information it does not know? It leaves an [ASK ME] marker in the draft and lists what it needs, instead of making something up.
