Notice to vacate letter with the right dates
Moving out, or need a tenant to leave at the end of a lease? The letter has to give the right notice and say exactly when the keys come back. This prompt has your todo.is agent read your lease, work out the move-out date, and write a clear, polite notice to vacate letter with the deposit and inspection details.
The prompt
- Write a notice to vacate letter. I am the [TENANT OR LANDLORD]. Property: [PROPERTY ADDRESS]. Other party: [LANDLORD OR TENANT NAME AND ADDRESS]. Notice is given on [DATE YOU SEND IT], and the notice period in my lease is [NOTICE PERIOD, OR ATTACH THE LEASE]. Work out the move-out date and show it clearly. Reason (optional): [REASON OR LEAVE IT OUT]. Include: the move-out date, a request for a move-out inspection, where to return keys, and my forwarding address for the deposit: [FORWARDING ADDRESS]. Keep it polite and under 250 words. Add a short list of what I should check in my local tenancy rules. Give me a Word file and a PDF.
What to change
- [TENANT OR LANDLORD]: Choose one: "tenant" (you are moving out) or "landlord" (you are ending the tenancy).
- [PROPERTY ADDRESS]: The rental's full address.
- [LANDLORD OR TENANT NAME AND ADDRESS]: Who receives the notice.
- [DATE YOU SEND IT]: The day you will send or hand it over.
- [NOTICE PERIOD, OR ATTACH THE LEASE]: E.g. "30 days" or "60 days". Or attach your lease and your agent reads the clause.
- [REASON OR LEAVE IT OUT]: E.g. "relocating for work". You usually don't have to give one as a tenant.
- [FORWARDING ADDRESS]: Where the deposit and any letters should go.

- Check in your local rules
- • The minimum notice period, and whether it must end on a rent day
- • How notice must be delivered (email, letter, certified mail)
- • Deposit return deadlines and what can be deducted
- • For landlords: valid reasons and notice periods to end a tenancy, which are often stricter
- Before you move out
- • Take dated photos of every room
- • Read the meter readings and keep a copy
How to do it with todo.is
- Copy the prompt and choose tenant or landlord, then fill in the [brackets].
- Attach your lease in todo.is so your agent finds the notice clause, or send it on WhatsApp.
- Your agent works out the date and writes the letter as a Word file and a PDF.
- Send it the way your lease requires, and keep a copy with the date you sent it.
Tips for a better result
- Count the notice from the day the other side receives it, not the day you write it. Leave a few extra days if you post it.
- Send it in writing even if you already told your landlord. A dated letter or email is your proof.
- Landlords: ending a tenancy is regulated in most places. Use this as a draft and check local law or a lawyer.
- Ask your agent to add the move-out date and an inspection reminder to your Google Calendar.
notice to vacate letter: FAQ
- How much notice do I need to give to vacate? It depends on your lease and local law. 30 or 60 days is common for tenants in the US, and one month is common in many other countries.
- Can I send a notice to vacate by email? Often yes, but some leases or laws require a letter or certified mail. Check your lease and send it the way it says.
- Do I need to give a reason for moving out? Tenants usually do not. Landlords ending a tenancy may need a legal reason, depending on where the property is.
- Is this letter legal advice? No. It is a draft letter based on your details. For disputes or evictions, contact a local tenant service or a lawyer.
