A press release template, filled in for your news
Journalists skim a press release in seconds and decide from the headline and first paragraph. If your news is buried in paragraph three, it is gone. This prompt has your agent write a release in standard AP-style format, with the who, what, when, where and why up top, two usable quotes, a boilerplate and a short pitch email to send with it.
The prompt
- Write a press release announcing [YOUR NEWS] for [COMPANY NAME]. Use standard format: FOR IMMEDIATE RELEASE (or embargoed until [RELEASE DATE]), headline under 12 words, a subheadline, dateline with [CITY], a first paragraph that answers who, what, when, where and why, supporting details, two quotes (one from [SPOKESPERSON NAME AND TITLE], one from a customer or partner if I provide it), an About section and a media contact block, ending with ###. Keep it to one page, about 400 words, plain language, no hype. Read our website to get the boilerplate right. Deliver it as Word and PDF, plus a 100-word pitch email to journalists and 3 alternative headlines.
What to change
- [YOUR NEWS]: What happened and why it matters, e.g. "launch of our free tax app for freelancers in Spain".
- [COMPANY NAME]: Your company name and website, e.g. "Taxly (taxly.es)".
- [RELEASE DATE]: The date and time the news can be published, or write "none" for immediate release.
- [CITY]: Where the news comes from, e.g. "MADRID".
- [SPOKESPERSON NAME AND TITLE]: Who is quoted, e.g. "Elena Ortiz, CEO". Add a few words on what she wants to say.
Example result
- FOR IMMEDIATE RELEASE
- Taxly Launches Free Tax App for Spain's 3 Million Freelancers
- Quarterly VAT and income tax returns filed from a phone in under 10 minutes
- MADRID, October 14, 2026. Taxly, a Madrid fintech startup, today launched a free mobile app that helps self-employed workers in Spain prepare and file their quarterly tax returns. The app reads invoices from a photo, fills in the official forms and reminds users before each deadline.
- Spain's freelancers file VAT and income tax returns four times a year. Many pay an accountant for simple filings or miss deadlines and face surcharges. Taxly guides users step by step in plain Spanish and English.
- "Freelancers should spend their time on clients, not on forms," said Elena Ortiz, CEO of Taxly. "We built the app we wished we had when we were self-employed."
- Key features:
- • Photo capture of invoices and receipts
- • Automatic quarterly VAT and income tax calculations
- • Deadline reminders by email and push notification
- • Free for up to 50 invoices per quarter
- "I filed my third-quarter return on the train," said Marc Puig, a freelance designer in Barcelona who tested the app. "It took less time than my coffee."
- Taxly is available now on iOS and Android.

How to do it with todo.is
- Copy the prompt and fill in your news, company, date, city and spokesperson.
- Paste it into todo.is, or send it to your agent on WhatsApp or Slack. Attach a fact sheet if you have one.
- Your agent reads your site and delivers the release in Word and PDF with a pitch email.
- Ask for edits, e.g. "make the headline more local", and have it save the pitch as a Gmail draft.
Tips for a better result
- Put the news in the headline and the first sentence. If a reporter reads nothing else, they should still know what happened.
- Make the quote say something a reporter can use, an opinion or a reason, not "we are thrilled to announce".
- Send the release in the email body with a short personal note, not only as an attachment.
- Ask your agent to find 15 journalists who covered similar news in the last 6 months, with links to their articles.
press release template: FAQ
- What is the format of a press release? "For immediate release" or an embargo line, headline, subheadline, dateline, lead paragraph, body with quotes, an About section, media contact and ### at the end.
- How long should a press release be? Usually 300 to 500 words, one page. Longer details can go in a linked press kit.
- What does embargoed mean on a press release? It asks journalists not to publish before a set date and time. Use it when you send news early so reporters can prepare a story.
- Does todo.is distribute the press release? No. Your agent writes it and can find relevant journalists and draft pitch emails. You review and send them yourself, or approve each send.
