Contract termination email that follows your notice clause
You want to end a supplier, agency or service contract, and the risk is getting the notice wrong and paying for months you did not want. This prompt has your todo.is agent read the contract you attach, find the termination and notice clauses, work out the end date, and write a clear, polite termination email that cites the clause and asks for written confirmation.
The prompt
- Read the attached contract with [OTHER PARTY] ([CONTRACT FILE]) and find the termination, notice and renewal clauses. Tell me in plain words the notice period, how notice must be given (email, letter, a specific address), the earliest end date if I give notice on [DATE YOU WILL SEND NOTICE], and any fees or obligations after ending. Then write a termination email that cites the clause number, states the end date, covers [WHAT NEEDS TO HAPPEN AT THE END] and asks them to confirm in writing within [DAYS TO CONFIRM] days. Reason, if any: [REASON OR NONE]. Neutral and professional, under 200 words. Also make a signed-letter version as a PDF if the contract requires a letter. Save the email as a Gmail draft. Do not send it.
What to change
- [OTHER PARTY]: E.g. "Brightway Cleaning Services Ltd".
- [CONTRACT FILE]: Attach the contract PDF or Word file. Scans work too; your agent reads them with OCR.
- [DATE YOU WILL SEND NOTICE]: E.g. "today" or "3 November".
- [WHAT NEEDS TO HAPPEN AT THE END]: E.g. "return of our office keys and a final invoice" or "export of our data".
- [DAYS TO CONFIRM]: E.g. "5".
- [REASON OR NONE]: E.g. "we are moving offices". Often it is better to give no reason; write "none".
Example result
- What your contract says (plain words)
- • Clause 12.1: either side can end the contract with 60 days' written notice
- • Clause 12.3: notice by email is valid if sent to contracts@brightway.example
- • Clause 4.2: the contract renews each year on 1 March unless ended; ending now avoids the renewal
- • After ending: you pay services up to the end date; no exit fee is mentioned
- • Earliest end date if you send notice on 3 November: 2 January
- The email
- To: contracts@brightway.example
- Subject: Notice of termination: cleaning services agreement, Northgate office
- Dear Brightway team,
- In line with clause 12.1 of our Cleaning Services Agreement dated 1 March 2024, we are giving 60 days' written notice to terminate the agreement. The termination will take effect on 2 January.
- Please continue services as normal until that date. Before the end date, please:
- • Return the two office keys and the alarm fob
- • Send a final invoice for services up to 2 January
- Please confirm receipt of this notice and the end date in writing within 5 working days.
- Thank you for your work for us over the past two years.
- Kind regards,
- Omar Reyes
- Facilities Manager, Northgate Design Ltd
- Checklist
- • Send it to the exact address or method the contract names
- • Keep a copy and the sent date. If the contract asks for a letter, send the PDF by recorded post too
- • Cancel any direct debit only after the final invoice is paid
- This is a draft, not legal advice. For high-value contracts or a dispute, have a lawyer check the notice before you send it.
How to do it with todo.is
- Copy the prompt and fill in the other party, the date and what must happen at the end.
- Attach the contract in todo.is. Your agent reads it and explains the clauses in plain words.
- Check the dates it found, then review the email draft and the PDF letter.
- Send it the way the contract requires, and ask your agent to remind you if there is no confirmation in 5 days.
Tips for a better result
- Check the renewal date first. Many contracts renew automatically and need notice weeks or months before.
- Use the exact notice method in the contract. An email to the wrong address may not count.
- Keep the reason short or leave it out. A neutral notice gives less room for argument.
- Ask your agent to "add the end date and a 2-weeks-before reminder to my calendar" so the switch to a new supplier is planned.
contract termination email: FAQ
- Can I terminate a contract by email? Often yes, if the contract allows written notice by email. Some contracts require a signed letter or a specific address, so check the notice clause.
- What should a contract termination email include? The contract name and date, the clause you rely on, the end date, what must happen at the end, and a request for written confirmation.
- Do I need to give a reason to end a contract? Not if the contract allows ending with notice. Ending early "for cause" is different and usually needs the breach described carefully, ideally with legal advice.
- Can todo.is read a scanned contract? Yes. Your agent reads scanned PDFs and photos with OCR. Check clause numbers and dates against the original before sending.
