Cancellation email for subscriptions, memberships and bookings
The gym keeps charging you, a software trial turned into a paid plan, or you need to cancel a booking. Some companies make cancelling hard on purpose. This prompt has your todo.is agent find the company's cancellation terms and the right contact, then write a short, clear cancellation email that asks for written confirmation and that no further payments are taken.
The prompt
- Write a cancellation email to [COMPANY] to cancel my [WHAT YOU ARE CANCELLING]. Account details: [ACCOUNT EMAIL, MEMBER OR BOOKING NUMBER]. I want it to end [WHEN IT SHOULD END]. First, search their website for the cancellation policy, notice period, any fees and the official way to cancel, and summarize it for me with links. Then write the email: clear statement that I am cancelling, the date it should take effect, a request for written confirmation and that no further payments are taken, and [REFUND OR OTHER REQUEST]. No reason needed. Under 130 words with a clear subject line. Save it as a Gmail draft and do not send it.
What to change
- [COMPANY]: E.g. "FlexFit Gyms".
- [WHAT YOU ARE CANCELLING]: E.g. "monthly gym membership", "annual software plan" or "hotel booking for 12 to 14 March".
- [ACCOUNT EMAIL, MEMBER OR BOOKING NUMBER]: E.g. "member no. 88412, registered with jo@mail.example".
- [WHEN IT SHOULD END]: E.g. "at the end of the current billing month" or "immediately".
- [REFUND OR OTHER REQUEST]: E.g. "a refund of the October fee charged after my trial" or "nothing else".

How to do it with todo.is
- Copy the prompt and fill in the company, what you are cancelling and your account number.
- Paste it into todo.is. Your agent looks up the cancellation terms first.
- You get a short summary of the rules with links, and the cancellation email.
- Send it, and ask your agent to "check my Gmail for their confirmation in 3 days and tell me if nothing came".
Tips for a better result
- Cancel the way the terms say, such as a specific email address or form. Otherwise they may say they never got it.
- Ask for written confirmation with the end date every time.
- Do not give a reason if you do not want a retention call or offer.
- Set a reminder for the day after the last billing date to check your bank statement.
cancellation email: FAQ
- How do I write an email to cancel a subscription? State that you are cancelling, give your account or member number, say when it should end and ask for written confirmation that no further payments will be taken.
- Do I need to give a reason when cancelling? No. A clear request is enough. Giving a reason can lead to retention offers, which you can ignore.
- What if they keep charging me after I cancel? Contact them with your cancellation email and their confirmation. If they still charge you, ask your bank or card provider about stopping or disputing the payment.
- Can todo.is cancel the subscription on the website for me? Your agent can open the website in a browser and guide you through the cancel steps, and asks for your OK before submitting anything.
