Farewell letter that says goodbye warmly and keeps the door open
Leaving a job, a school or a town brings up a lot, and it is easy to write too much or too little. This prompt has your todo.is agent write a farewell letter that thanks people with real memories, says where you are going if you want to, and leaves your contact details so the relationship continues.
The prompt
- Write a farewell letter from me, [YOUR NAME], to [WHO YOU ARE SAYING GOODBYE TO]. I am leaving because [WHY YOU ARE LEAVING] and my last day is [LAST DAY]. Mention these memories or people: [2 OR 3 SPECIFIC MEMORIES]. Tone: [TONE]. Keep it under 250 words, thank them sincerely, avoid any complaints, and end with how to stay in touch: [CONTACT DETAILS]. Give me the letter as a Word file and a PDF, plus a 3-line version I can post in the team chat.
What to change
- [YOUR NAME]: Your name for the signature.
- [WHO YOU ARE SAYING GOODBYE TO]: E.g. "my team at Coastal Bank", "my Year 5 class and their parents", "our neighbors on Elm Street".
- [WHY YOU ARE LEAVING]: Keep it short, e.g. "moving to Lisbon", "starting a new role", "retiring". Or "leave it out".
- [LAST DAY]: E.g. "Friday 14 November".
- [2 OR 3 SPECIFIC MEMORIES]: Real moments, e.g. "the night we fixed the server outage", "Tuesday cake", "Ben teaching me Excel".
- [TONE]: E.g. "warm and a little funny", "formal" or "simple and heartfelt".
- [CONTACT DETAILS]: Personal email, LinkedIn or phone, e.g. "linkedin.com/in/samokafor".
Example result
- Farewell letter (to colleagues)
- Dear team,
- After six years at Coastal Bank, Friday 14 November will be my last day. I am moving to Lisbon with my family, and while I am excited, saying goodbye to all of you is the hard part.
- I keep thinking about the night the payments server went down and eight of us stayed until 2 am, eating cold pizza and refusing to go home until it was fixed. I learned more that night than in any training course.
- I will miss Tuesday cake, which Helen somehow never forgot once in six years. And Ben, thank you for teaching me pivot tables with endless patience when I was too proud to admit I did not know them.
- You made a job feel like a place I belonged. Thank you for the help, the laughs and the honesty, especially on the hard days.
- I would love to stay in touch. You can find me at linkedin.com/in/samokafor or sam.okafor@example.com, and if you are ever in Lisbon, the first coffee is on me.
- With gratitude,
- Sam
- Team chat version
- Friday is my last day after six great years. Thank you for the cold pizza nights, Tuesday cake and all the patience. Stay in touch: linkedin.com/in/samokafor
- What to leave out
- • Complaints about the company or anyone in it
- • Long explanations of why you are leaving
- • Promises you may not keep, like "I'll visit every month"
How to do it with todo.is
- Copy the prompt and add your own memories and dates in the [brackets].
- Send it to your agent on WhatsApp or paste it on the todo.is Today screen.
- Get the letter as a Word file and PDF, plus a short version for the team chat.
- Reply "make it funnier" or "a version for my manager only" for another take.
Tips for a better result
- Use two or three specific memories. "The night the server went down" beats "all the great times".
- Thank people by name when you can, but keep it short so nobody feels left out.
- Leave out complaints. Farewell letters get forwarded and remembered.
- Add a personal email or LinkedIn, since your work address will stop working.
- For a class or club, ask your agent for a version that also works read aloud.
farewell letter: FAQ
- What do you write in a farewell letter? Say you are leaving and when, share a few real memories, thank people sincerely, wish them well and give a way to stay in touch.
- How long should a farewell letter be? Under 300 words is usually right. People are more likely to read it all and remember it.
- Should I say why I am leaving? Only if you want to, and keep it to a line. "I am moving to Lisbon" or "starting a new chapter" is enough.
- Can my agent email it to my team? With Google connected, it can save the email as a Gmail draft. It asks for your OK before sending anything.
