Appeal letter that makes a calm, clear case
A decision went against you: a grade, an academic dismissal, a denied claim, a parking fine or a benefits decision. Most appeals succeed or fail on clarity. This prompt has your todo.is agent read the decision and the rules, find the appeal deadline and process, and write a respectful letter that shows exactly why the decision should change.
The prompt
- Write an appeal letter against this decision: [WHAT WAS DECIDED AND BY WHOM]. Reference number: [CASE OR STUDENT NUMBER]. The decision letter and rules are attached or at [LINK TO POLICY OR APPEAL PAGE]. Read them and tell me the deadline and the grounds for appeal they allow. My reasons: [WHY IT SHOULD CHANGE]. Evidence I have: [DOCUMENTS, DATES, WITNESSES]. What I want: [THE OUTCOME YOU ASK FOR]. Keep it under 500 words, polite and factual, structured as: decision, grounds, evidence, request. Do not blame or attack anyone. Give me a Word file and a PDF, and a list of the evidence to attach.
What to change
- [WHAT WAS DECIDED AND BY WHOM]: E.g. "academic dismissal by the Faculty of Engineering on 2 July" or "denial of my parking permit".
- [CASE OR STUDENT NUMBER]: The number on the decision letter.
- [LINK TO POLICY OR APPEAL PAGE]: Attach the decision letter, or paste the link to the appeals policy.
- [WHY IT SHOULD CHANGE]: Your main points, e.g. "I was in hospital during exams; the marking did not follow the rubric".
- [DOCUMENTS, DATES, WITNESSES]: E.g. "hospital discharge letter, emails with my tutor from May".
- [THE OUTCOME YOU ASK FOR]: Be specific, e.g. "reinstatement on academic probation for autumn semester".

- Re: Appeal against academic dismissal dated 2 July 2026
- Dear Members of the Committee,
- I am writing to appeal the decision of the Faculty of Engineering, dated 2 July 2026, to dismiss me from my program because my grade average fell below the required level.
- Grounds for appeal
- I am appealing on two grounds allowed under section 4 of the Academic Appeals Policy:
- 1. Extenuating circumstances. From 28 April to 19 May 2026 I was in hospital and then recovering from surgery. This covered all three of my final exams.
- 2. Information not available at the time. I did not submit a mitigating circumstances form because I was unwell and did not know the deadline had passed until after the results.
- Evidence
- • Hospital discharge letter dated 6 May 2026
- • Letter from my doctor confirming recovery time
- • Emails with my personal tutor from 30 April and 22 May
- My record before this
- Before this semester, my grade average was 64%, well above the required level. I have not failed a module before.
- What I am asking for
- I ask the Committee to reverse the dismissal and allow me to retake the three exams in August as first attempts, or to continue on academic probation in the autumn semester.
- I have a plan in place, including weekly meetings with my tutor and support from student services.
- Thank you for considering my appeal.
- Yours sincerely,
- Hannah Okoye
- What makes an appeal work
- • Use the grounds the rules allow, by name
- • Back every claim with evidence
- • Ask for a specific outcome
- • Send it before the deadline
How to do it with todo.is
- Copy the prompt and describe the decision and your reasons in the [brackets].
- Paste it into todo.is and attach the decision letter and your evidence.
- Your agent reads the rules, tells you the deadline and writes the appeal letter.
- Check every fact, then send it the way the appeals page says. Ask your agent to put the deadline in your calendar.
Tips for a better result
- Read the appeal rules first. Most processes only accept certain grounds, and a strong letter on the wrong grounds can still fail.
- Disagreeing with a decision is rarely a ground on its own. Show what was missed, wrong or unfair.
- Stay calm and polite. The person reading it often did not make the original decision.
- For legal, immigration or benefits appeals with tight deadlines, also get help from an adviser or legal aid service.
appeal letter: FAQ
- How do I write a good appeal letter? Identify the decision, state the grounds allowed by the rules, back each with evidence, and ask for a specific outcome. Keep it calm and short.
- How long do I have to appeal? It depends on the organization. Deadlines are often 10 to 30 days from the decision date, so check the decision letter right away.
- Can I appeal more than once? Some processes have a second stage or an external review. Your agent can read the policy and tell you the next step if the first appeal fails.
- Should I include emotional details? Include facts about what happened and how it affected you, but keep the focus on the grounds and evidence.
