Customer review analysis that turns hundreds of reviews into a fix list
Reviews are spread across Google, app stores, marketplaces and your own export, and nobody has time to read them all. Here your todo.is agent reads them, tags each one by theme and sentiment, counts what comes up most, and gives you a ranked list of what to fix and what to keep doing.
The prompt
- Analyze customer reviews for [PRODUCT OR BUSINESS]. Use [WHERE THE REVIEWS ARE] and only reviews from [DATE RANGE]. Tag every review by theme (for example delivery, quality, price, support, ease of use) and by sentiment. Give me: the top 5 complaint themes with how many reviews mention each, 2 short real quotes per theme, the top 3 things people love, any issue that got worse recently, and 5 concrete fixes ranked by impact. Compare with [COMPETITOR] if you can find their public reviews. Deliver an Excel file with every review and its tags, plus a one-page PDF summary.
What to change
- [PRODUCT OR BUSINESS]: e.g. "our meal kit subscription" or "Bluefin Dental Clinic".
- [WHERE THE REVIEWS ARE]: Attach a CSV or Excel export, or give public review page links (Google, app store, marketplace listing).
- [DATE RANGE]: e.g. "the last 6 months" or "since our March redesign".
- [COMPETITOR]: A competitor name or review page link, or write "skip".
Example result
- Review analysis: Greenbox meal kits, Apr to Sep
- 412 reviews from your export and the public app store page. Average rating 3.9.
- Top complaint themes
- • Late or missed delivery · 94 reviews (23%) · "Box arrived at 9pm, the fish was warm."
- • Too much packaging · 61 reviews (15%) · rising: 8 in April, 19 in September · "Three ice packs for two meals."
- • Recipes take longer than stated · 48 reviews (12%) · "Says 25 minutes, took me 50."
- • Hard to skip a week · 37 reviews (9%) · "Couldn't find the skip button, got charged."

- What customers love
- • Fresh, good-quality vegetables (mentioned in 31% of positive reviews)
- • Recipe variety and new dishes each week
- • Friendly support replies when people do get through
- Changed recently
- Packaging complaints more than doubled after the July supplier switch. Worth checking first.
- Compared with a public competitor
- Their reviews mention delivery less often but complain more about price. Your edge is ingredient quality.
- 5 fixes ranked by impact
- 1. Add delivery time windows and a text alert on the day
- 2. Move the "skip a week" option to the home screen
- 3. Review the July packaging change with the supplier
- 4. Re-time 10 recipes with the most "took longer" mentions
- 5. Offer a larger portion option on popular dishes
- The Excel file lists all 412 reviews with theme, sentiment and date, so you can filter and check any count.
How to do it with todo.is
- Copy the prompt and add your product, date range and where the reviews live.
- Attach a CSV or Excel export of reviews, or paste public review links, then send the to-do in todo.is or by WhatsApp.
- Your agent tags every review, counts the themes and builds the Excel file and one-page summary.
- Open the Excel file to check any number, then ask for changes like "split delivery by city".
Tips for a better result
- An export beats scraping. Most review platforms and helpdesks let you download reviews as CSV, which gives your agent every review and date.
- Compare two periods, such as before and after a change. Trends over time matter more than one big snapshot.
- Ask for counts and quotes together. A theme with 90 mentions and real words is easy to bring to your team.
- Make it monthly: a recurring to-do can send you only the new themes and anything that got worse.
customer review analysis: FAQ
- How many reviews do I need for a useful analysis? Even 50 reviews can show clear themes. With a few hundred, the counts and trends over time become much more reliable.
- Can it read reviews in several languages? Yes. Your agent can read reviews in many languages, tag them the same way and quote them with an English translation.
- Is sentiment analysis accurate? It is good at clear praise and complaints but can misread sarcasm or mixed reviews. The Excel file lets you spot-check the tags.
- Does the agent reply to reviews for me? It can draft polite replies for you to post, but it does not post on review sites or social networks for you.
