AI meeting summary from any recording
Nobody wants to rewatch a one-hour call to find who agreed to do what. Send your todo.is agent the recording and it transcribes it, then gives you a short summary with decisions, action items with owners and dates, and open questions.
The prompt
- Summarize the meeting in the attached recording: [ATTACH THE AUDIO OR VIDEO FILE]. It was a [MEETING TYPE] with [WHO WAS THERE]. Transcribe it, then write: a 5-line summary, the decisions we made, action items with owner and due date (write "no date" if none was said), open questions, and any numbers or deadlines mentioned. Keep the summary under one page and use people’s names. Give me a Word file with the summary on page 1 and the full transcript after it, and email it to me. Then draft a short follow-up email to [WHO GETS THE FOLLOW-UP] with the action items, but do not send it.
What to change
- [ATTACH THE AUDIO OR VIDEO FILE]: Attach the recording (for example an MP3, M4A or WAV file from your phone or meeting app). A voice note on WhatsApp or Telegram also works.
- [MEETING TYPE]: E.g. "weekly team meeting", "client kick-off" or "board call". Helps your agent pick what matters.
- [WHO WAS THERE]: Names and roles, e.g. "Lena (PM), Raj (dev), Chris from the client". Helps match voices to names.
- [WHO GETS THE FOLLOW-UP]: E.g. "everyone who was there" or "just the client". Write "no email" to skip it.

How to do it with todo.is
- Copy the prompt, fill in who was there, and attach the recording.
- Send it from the todo.is app, or forward the file to your agent on WhatsApp, Telegram or Slack.
- Your agent transcribes it, writes the summary and emails you a Word file with the transcript included.
- Ask questions about the meeting, like "what did Chris say about the budget?", and get the answer with the quote.
Tips
- Give names and roles. It makes the action items much clearer than "Speaker 1" and "Speaker 2".
- Record a voice note right after a meeting and send it to your agent on WhatsApp. A 2-minute recap is enough for a clean summary.
- For a weekly meeting, tell your agent the format you like once. It remembers it for next time.
- If you connect Google, ask your agent to add the follow-up meetings to your Google Calendar. It asks before creating anything.
FAQ
- What file types can I upload? Common audio formats like MP3, M4A and WAV work, as do voice notes you send on WhatsApp or Telegram. For a long video, sending just the audio track is quicker.
- Does it join my Zoom or Teams calls? No. Your agent works from a recording you send it after the meeting. Record with your meeting app or phone, then attach the file.
- What should a meeting summary include? A short overview, decisions, action items with an owner and due date, and open questions. Those four parts cover what most people need after a meeting.
- Is my recording private? Your recording and transcript stay in your own agent’s workspace. Only your agent uses them, and you can delete them any time. Ask attendees before you record.
