Tone changer for emails, messages and posts
The words are right but the tone is wrong: an email that sounds angry, a reply that sounds cold, a post that sounds stiff. This prompt has your todo.is agent rewrite the same message in the tone you want, keep every fact and request, and give you three strengths to choose from.
The prompt
- Change the tone of this message: [YOUR MESSAGE]. It is going to [WHO WILL READ IT]. Right now it sounds [HOW IT SOUNDS NOW], and I want it to sound [TONE YOU WANT]. Keep every fact, date, number and request, and keep it about the same length or shorter. Give me 3 versions: a light change, a medium change and a strong change. Under each one, add one line on what you changed (word choice, sentence length, opening, closing). Do not add apologies, compliments or promises I did not make. If anything in my message could be read badly by this reader, point it out.
What to change
- [YOUR MESSAGE]: Paste the email, chat message, post or paragraph.
- [WHO WILL READ IT]: e.g. "my manager", "an upset customer", "my landlord", "a group chat of parents".
- [HOW IT SOUNDS NOW]: e.g. "annoyed", "too blunt", "too casual", "robotic".
- [TONE YOU WANT]: e.g. "calm but firm", "warm and friendly", "confident", "professional", "playful".
Example result
- Your message
- "I've asked three times now for the invoice to be corrected. This is really unprofessional. Fix it by Friday or we'll stop working with you."
- Light change: still firm
- I've asked three times for the invoice to be corrected and it still hasn't been updated. Please send the corrected version by Friday. If that isn't possible, we'll need to review whether to continue working together.
- What changed: removed "really unprofessional", turned the order into a request, kept the deadline and the consequence.
- Medium change: calm and firm
- Hi Marco, I'm following up on the invoice correction for the third time. Could you send the updated invoice by Friday? It's holding up our payment run, and I'd like to get it closed this week.
- What changed: added a greeting and the reason it matters, dropped the threat, kept Friday.
- Strong change: warm and cooperative
- Hi Marco, hope your week is going well. I wanted to check in on the invoice correction we discussed. Is there anything you need from me to get it sorted? If you can send the updated version by Friday, we can pay it in this week's run.
- What changed: friendly opener, offers help, frames Friday as a benefit to them.
- Watch out
- • "This is really unprofessional" is the line most likely to make the reader defensive. All 3 versions remove it.
- • If this is the last warning, the light version is the honest one. The strong version does not say there is a consequence.
- Tone tips used
- • Short sentences sound more confident than long ones
- • Questions ("Could you send...") sound softer than orders ("Fix it")
- • A reason ("it's holding up our payment run") makes a deadline feel fair
How to do it with todo.is
- Copy the prompt, paste your message and describe the tone you have and the tone you want.
- Send it from the Today screen in todo.is or straight from WhatsApp or Telegram when you are about to reply to someone.
- Pick the version that fits, or mix lines from two of them.
- Ask for small changes like "a bit warmer" or "shorter", or tell your agent to remember your usual tone.
Tips for a better result
- Name the reader. "Calm" for a customer and "calm" for your boss sound different.
- The fastest way to soften a message is to replace orders with requests and add one reason.
- To sound firmer, cut "just", "I think" and "sorry to bother you", and state the deadline once.
- If you are angry, write the angry version first, then use this prompt. Do not send the first draft.
tone changer: FAQ
- What are common tones in writing? Formal, informal, friendly, firm, neutral, urgent, empathetic, confident and playful are the most used. Most messages mix two, like "friendly but firm".
- How do I make an email sound less rude? Add a greeting, turn orders into requests, give a reason for what you ask and remove words that judge the person. Keep the facts.
- Can it change tone in another language? Yes. Write the message in any language and say which language you want back. Tone rules differ by culture, so mention the reader’s country if it matters.
- Will it send the message for me? No, it gives you the text. If Google is connected it can save a Gmail draft, and it only sends after you approve.
