Weekly report email to your manager, drafted from your week
Friday afternoon, and you have to remember what you did since Monday. This prompt has your todo.is agent pull your week together from notes, finished tasks or your Google Calendar, and write a short weekly report email for your manager: what you finished, the numbers that moved, what is blocked, and what you will focus on next week.
The prompt
- Write my weekly report email to [MANAGER NAME] for the week of [WEEK DATES]. My role is [YOUR ROLE]. Use these notes: [YOUR NOTES OR TASK LIST]. If my Google Calendar is connected, also check my meetings this week and mention any that led to a decision. Structure it as: 3 to 5 wins with results or numbers, key metrics compared to last week ([METRICS TO REPORT]), blockers and what I need, and my top 3 priorities for next week. Keep it under 200 words, plain bullets, no filler like "busy week". Use the subject "Weekly report:" followed by the week dates. Save it as a Gmail draft. Do not send it.
What to change
- [MANAGER NAME]: E.g. "Rachel".
- [WEEK DATES]: E.g. "3 to 7 November".
- [YOUR ROLE]: E.g. "customer support lead" or "content marketer". It helps pick what matters.
- [YOUR NOTES OR TASK LIST]: Paste quick notes, a list of done tasks, or attach a screenshot of your board.
- [METRICS TO REPORT]: E.g. "tickets closed, first response time, CSAT". Write "none" if you do not track numbers.
Example result
- The email
- Subject: Weekly report: 3 to 7 November
- Hi Rachel,
- Here is my update for this week.
- Wins
- • Cleared the backlog of 140 billing tickets left from the pricing change
- • Published 6 new help articles on invoices; "how to download an invoice" tickets fell from 38 to 21
- • Onboarded Leo to the night shift; he handled 52 tickets solo on Thursday
- • Agreed with Product to show the plan name on invoices (decided in Tuesday's sync)
- Metrics (vs last week)
- • Tickets closed: 612 (up from 540)
- • First response time: 2 h 10 min (down from 3 h 05 min)
- • CSAT: 91% (flat)
- Blocked
- • Refund requests over 200 euros still need Finance approval, which takes 2 days. Could we agree a faster path with Finance?
- Next week
- • Train the team on the new refund macro
- • Draft the holiday coverage rota
- • Review the 10 lowest-rated tickets for patterns
- Thanks,
- Jordan
- Weekly report vs status update
- • A weekly report is about you or your team: what you did and what you need
- • A project status update is about one project: is it on track for its milestones
- What managers look for
- • Results, not activity: "tickets fell from 38 to 21" beats "wrote help articles"
- • One clear ask they can act on
- • The same format every week, so they can compare weeks at a glance
How to do it with todo.is
- Copy the prompt and fill in your manager, dates, role and notes.
- Paste it into todo.is on the Today screen, or send a voice note of your week to your agent on WhatsApp and add the prompt.
- Your agent writes the report, using your calendar if Google is connected.
- Review the draft and send it. To make it a habit, ask for it every Friday at 4 pm.
Tips for a better result
- Keep a running note during the week ("done: ...") and send it to your agent. Friday then takes five minutes.
- Lead with the outcome, then the task. Managers forward reports upward and numbers travel well.
- Raise a blocker once with a suggested fix. Repeating the same blocker every week without a proposal reads as venting.
- Tell your agent "remember the metrics I report" so you only paste the new numbers each week.
weekly report email: FAQ
- What should be in a weekly report email? Your main wins with results, key metrics compared to last week, blockers and what you need, and your priorities for next week.
- How long should a weekly report be? Most managers prefer under 200 words in bullets. If they need detail, they will ask or open the attached file.
- What if I had a slow week? Report it honestly and briefly. Mention what you learned or prepared, and what will move next week.
- Can todo.is draft my weekly report every Friday? Yes. Set it as a recurring to-do, for example every Friday at 4 pm, and your agent saves a fresh draft for you to check before you send.
