Deadline reminders that plan backwards from the due date
A single reminder on the day of a deadline mostly reminds you that you are late. This prompt has your todo.is agent break each deadline into milestones, schedule countdown reminders for each step, and send a short checklist before you submit, whether it is a tax filing, a grant application or a client project.
The prompt
- Help me hit these deadlines: [DEADLINES WITH DATES AND WHAT IS DUE]. For each one, work backwards and split it into 3 to 5 milestones with their own dates, based on [HOW MUCH TIME I HAVE PER WEEK]. Send reminders on [WHERE TO SEND] for each milestone the morning it starts, plus countdowns [COUNTDOWN SCHEDULE] before the final deadline. Two days before each deadline, send a checklist of what must be ready to submit. If I reply "behind", rework the remaining dates and tell me what to cut or move. Start by sending me the full plan as a table, and add the milestones to my Google Calendar if it is connected.
What to change
- [DEADLINES WITH DATES AND WHAT IS DUE]: e.g. "grant application due 15 Nov, needs budget, narrative and 2 letters of support", "quarterly VAT return 31 Oct".
- [HOW MUCH TIME I HAVE PER WEEK]: e.g. "about 5 hours a week, mostly evenings".
- [WHERE TO SEND]: WhatsApp, Telegram, Slack, Discord or email.
- [COUNTDOWN SCHEDULE]: e.g. "14, 7, 3 and 1 day" before.
Example result
- Plan: grant application (due Sat 15 Nov)
- • Mon 13 Oct: read the guidelines and scoring criteria, list required documents
- • Mon 20 Oct: ask 2 partners for letters of support (they need about 2 weeks)
- • Mon 27 Oct: first draft of the project narrative
- • Mon 3 Nov: budget and budget justification done
- • Mon 10 Nov: final edit, check word limits, collect letters
- • Thu 13 Nov: submit (2 days early, portals often slow down near deadlines)
- Countdowns: 1 Nov (14 days), 8 Nov (7 days), 12 Nov (3 days), 14 Nov (1 day).
- Plan: quarterly VAT return (due Fri 31 Oct)
- • Mon 20 Oct: download sales and expense reports
- • Fri 24 Oct: reconcile with bank statements
- • Tue 28 Oct: file the return and schedule payment
- Sample milestone reminder (Mon 20 Oct, 8:30)
- Grant: today is "ask for letters of support". Two short emails to Lina at Northside Youth and Dev at Parkway Library. Want me to draft them for you?
- Checklist (Thu 13 Nov)
- • Narrative under the 2,500-word limit
- • Budget totals match in the form and the PDF
- • 2 letters of support, signed, as PDF
- • Organization registration number in the form
- • File names follow the guideline format
- When you reply "behind"
- > You are 4 days behind on the narrative. Suggest: shorten the edit week to 3 days and ask Lina for her letter now instead of next week. New submit date stays 13 Nov.
How to do it with todo.is
- Copy the prompt and list your deadlines and what each one needs in the [brackets].
- Paste it into todo.is or send it to your agent on WhatsApp, Slack or Telegram.
- Check the plan table and adjust dates that do not work for you.
- Reply "done" or "behind" to milestone reminders so your agent can keep the plan realistic.
Tips for a better result
- Set your own deadline 1 to 2 days before the real one. Upload portals and last-minute questions eat time.
- Start early with anything that depends on other people, like signatures or letters. Those are the usual cause of late submissions.
- Tell your agent how many hours you really have. A plan based on free time you do not have will fail.
- For official deadlines like taxes or visas, check the date on the official site. Rules and dates can change.
deadline reminders: FAQ
- How do I set reminders for deadlines? Put the final date down, then work backwards and set reminders for each step, plus a countdown of a few reminders before the due date.
- How far in advance should I get a deadline reminder? For big projects, start 3 to 6 weeks out with milestones. For small tasks, a reminder 2 to 3 days before and one on the day is usually enough.
- Can it add deadlines to Google Calendar? Yes. With Google connected, your agent adds the milestones and final deadline as calendar events.
- Can I use this for a team project? Your agent reminds you. It can write a short weekly status update you can share with your team.
