Excel to CSV converter for files your other system will accept
Your CRM, shop or accounting tool wants a CSV, but "Save as CSV" only exports one sheet, loses accents and writes dates the importer rejects. Tell your todo.is agent what the target system needs and it exports every sheet as a clean CSV that imports on the first try.
The prompt
- Convert the attached Excel file to CSV: [ATTACH THE .XLSX]. Export [WHICH SHEETS], one CSV per sheet. Use [DELIMITER] as the delimiter, UTF-8 encoding and quotes around text that contains the delimiter. Write dates as [DATE FORMAT] and numbers with a dot for decimals and no thousands separators. Use the values, not the formulas, and drop empty rows, hidden columns and total rows. The file is going into [TARGET SYSTEM], so match its column names if you know them. Zip the CSVs if there are more than three.
What to change
- [ATTACH THE .XLSX]: Attach an .xlsx, .xls or .ods file.
- [WHICH SHEETS]: E.g. "all sheets", "only Contacts" or "only rows where Status is Active".
- [DELIMITER]: E.g. "comma", "semicolon" or "tab".
- [DATE FORMAT]: E.g. "YYYY-MM-DD" (safest for imports) or "MM/DD/YYYY".
- [TARGET SYSTEM]: E.g. "HubSpot", "Shopify products", "QuickBooks" or "a Python script".
Example result
- Excel to CSV: Customer_Master_2026.xlsx
- 3 sheets exported · UTF-8 · comma delimiter · dates YYYY-MM-DD
- Files
- • contacts.csv: 2,412 rows · 11 columns
- • companies.csv: 498 rows · 8 columns
- • deals.csv: 50 rows · 9 columns
- What changed from the workbook
- • Formulas were replaced by their results. "=B2&" "&C2" in Full name became "Ana Ruiz"
- • Hidden column "Internal notes" on contacts was left out
- • The "TOTAL" row at the bottom of deals was removed so the importer does not read it as a deal
- • 37 blank rows between groups were dropped
- • Amounts like "$12,400.00" became 12400.00
- • Dates such as 7 March 2026 became 2026-03-07
- • Names with accents (José, Søren, Zoë) are kept because the file is UTF-8
- Column names matched for the import
- • "E-mail" became "Email"
- • "Company Name" became "Company name"
- • "Phone #" became "Phone Number"
- First lines of contacts.csv
- First name,Last name,Email,Phone Number,Company name,City,Created
- Ana,Ruiz,ana.ruiz@example.com,+34 611 204 118,Northwind Tiles,Valencia,2026-03-07
- Tom,Becker,tom@example.org,"+1 415 555 0142",Bluepeak Labs,"San Jose, CA",2026-02-19
- Check before you import
- • 6 contacts have no email. They are in the file but many CRMs skip them
- • 2 rows had a comma inside the city name. They are quoted so the columns stay aligned
How to do it with todo.is
- Copy the prompt and fill in the sheets, delimiter, date format and the system you are importing into.
- Attach the workbook in todo.is or send it to your agent on Telegram or WhatsApp with the prompt.
- Your agent exports each sheet and lists anything that could trip up your import.
- Download the CSVs or the zip. Reply with the importer's error message if anything fails and it will fix the file.
Tips for a better result
- Name the target system. Many importers have fixed column names and date formats, and your agent can look them up.
- Use YYYY-MM-DD dates for imports. It is the format least likely to be read the wrong way round.
- If the importer shows odd characters like "é", it expects a different encoding. Ask for a Windows-1252 or UTF-8 with BOM copy.
- CSV keeps only values. Colors, formulas and comments are lost, so keep your .xlsx as the master copy.
Excel to CSV converter: FAQ
- Why does Save as CSV only export one sheet? A CSV file can hold only one table, so Excel saves just the active sheet. Your agent exports every sheet you ask for as its own CSV.
- What is the difference between CSV and CSV UTF-8? Plain CSV in Excel uses your system's old encoding, which can break accents and symbols. CSV UTF-8 keeps every character and is what most modern tools expect.
- Will my formulas still work in the CSV? No. A CSV stores only the values, so your agent writes the calculated results. Keep the Excel file if you need the formulas.
- Should I use comma or semicolon? Use what the importing system expects. Semicolons are common in countries that use a decimal comma, commas almost everywhere else.
