Excel to PDF converter that fits your sheet on the page
Saving a spreadsheet as PDF often cuts columns onto extra pages or shrinks the text until no one can read it. Your todo.is agent sets the print area, orientation and scaling for each sheet, repeats the header row, and gives you a PDF that reads well on screen and on paper.
The prompt
- Convert the attached Excel file to a PDF: [ATTACH THE .XLSX]. Include [WHICH SHEETS]. Fit all columns to the page width in [ORIENTATION], keep the text readable (no smaller than 8 pt), repeat the header row on every page and add the sheet name and page number in the footer. Keep charts as sharp images. Do not change any numbers. Put the sheets in this order: [SHEET ORDER]. Give me one PDF called [FILE NAME].pdf.
What to change
- [ATTACH THE .XLSX]: Attach an .xlsx, .xls or .csv file.
- [WHICH SHEETS]: E.g. "all sheets", "only Summary and Invoice" or "only the range A1:H40 on Budget".
- [ORIENTATION]: E.g. "landscape", "portrait" or "whatever fits best".
- [SHEET ORDER]: E.g. "Summary, Monthly, Raw data" or "as in the file".
- [FILE NAME]: E.g. "Budget_2026_Board".
Example result
- Excel to PDF: Budget_2026.xlsx
- 3 sheets selected · 9 pages · A4 landscape · 860 KB
- Page setup per sheet
- • Summary (1 page): range A1:J32, scaled to 92%, chart "Spend by department" below the table
- • Monthly (6 pages): 14 columns (Jan to Dec plus Total and Variance) fitted to the width; row 1 repeats as the header on every page; page breaks placed between departments
- • Headcount (2 pages): portrait would have cut 3 columns, so landscape at 88%
- What your agent changed (layout only)
- • Hid the helper columns K to M on Monthly, which were outside the print area
- • Turned off gridlines and kept the cell borders you set
- • Set the footer to "Monthly · Page 3 of 9"
- • Moved one chart so it no longer split across two pages
- What it did not change
- • No values, formulas or formats were touched in your file
- • Negative numbers still show in red with brackets, as in Excel
- Readability check
- • Smallest text in the PDF: 8.5 pt on the Monthly sheet
- • Every page has its header row, so a printed page 4 still makes sense on its own
How to do it with todo.is
- Copy the prompt, choose the sheets, orientation and order.
- Attach the workbook on the Today screen in todo.is or send it to your agent in a WhatsApp or Telegram chat.
- Your agent sets up each sheet for printing and exports the PDF with LibreOffice.
- Check the pages and ask for tweaks like "put Summary on one page" or "portrait for Headcount".
Tips for a better result
- Very wide sheets (30+ columns) will never be readable on one page. Ask your agent to split them by column groups with the first column repeated.
- Say which range matters. Most sheets have notes and helper cells off to the side that should not be printed.
- For invoices made in Excel, ask for one PDF per row or per sheet with the invoice number in the file name.
- Send the same report every month? Your agent remembers your page setup, so next time just attach the new file.
Excel to PDF converter: FAQ
- How do I fit an Excel sheet on one page as a PDF? Scale the sheet to fit the page width and use landscape for wide tables. Your agent does this and keeps text at a readable size, splitting pages only where needed.
- Will formulas still work in the PDF? No. A PDF shows the calculated values only. Keep the Excel file for editing and share the PDF for reading.
- Can I convert only one sheet or a range? Yes. Name the sheet or the cell range, like "Budget A1:H40", and only that part goes into the PDF.
- Do charts stay sharp? Yes. Charts are exported at print quality, so they stay crisp when zoomed or printed.
