Google review response generator for every star rating
You know replying to reviews helps your Google Business Profile, but writing fifty different thank-yous is tiring and the angry ones are hard to get right. This prompt has your agent write a short, personal reply for each review you paste or attach, matched to the rating and the details the customer mentioned.
The prompt
- Write replies to these Google reviews for [BUSINESS NAME], a [TYPE OF BUSINESS] in [CITY]: [PASTE REVIEWS OR ATTACH SCREENSHOT]. For each review, write a reply of 2 to 4 sentences that uses the reviewer's first name, mentions one specific thing they said, and sounds like a real owner, not a template. 5 and 4 stars: thank them and invite them back for something specific. 3 stars: thank them and say what we will improve. 1 and 2 stars: apologise without arguing, don't share private details, and invite them to contact [CONTACT FOR COMPLAINTS]. Never offer discounts or freebies in public replies. Sign as [SIGN-OFF NAME]. Give me a table with the review, the stars and the reply so I can copy each one.
What to change
- [BUSINESS NAME]: Your business name as it shows on Google, e.g. "Bella Forno Pizzeria".
- [TYPE OF BUSINESS]: E.g. "family pizzeria", "dental clinic", "dog grooming salon".
- [CITY]: Your town or neighborhood. A light local mention makes replies feel real.
- [PASTE REVIEWS OR ATTACH SCREENSHOT]: Paste the review text with names and stars, or attach screenshots of your reviews page. Your agent reads images too.
- [CONTACT FOR COMPLAINTS]: A direct email or phone, e.g. "hello@bellaforno.com" or "Marco on 555-0142".
- [SIGN-OFF NAME]: How replies are signed, e.g. "Marco, owner" or "The Bella Forno team".
Example result
- Replies for Bella Forno Pizzeria
- Sofia R. (5 stars): "Best margherita in town, and the staff remembered my son's birthday."
- Reply: Thank you, Sofia! We loved singing for your son, and we're happy the margherita lived up to the occasion. Next time, try the new burrata pizza on Thursdays. See you soon. Marco, owner
- James T. (4 stars): "Great pizza, a bit of a wait on Saturday night."
- Reply: Thanks, James. Saturday nights get busy, and we're glad the pizza was worth the wait. Booking a table online skips most of the queue. Hope to see you again. Marco, owner
- Priya K. (3 stars): "Food was good but the music was too loud to talk."
- Reply: Thank you for the honest feedback, Priya. You're right that it gets loud, and we've turned the volume down in the back room. We'd love for you to give us another try. Marco, owner
- Dan M. (1 star): "Cold pizza and the delivery was 50 minutes late."
- Reply: Dan, I'm sorry. A cold pizza after a long wait isn't what we want for anyone. Please email me at hello@bellaforno.com with your order details so I can look into what happened and make it right. Marco, owner
- Why these replies work
- • Each one uses the name and one detail from the review, so Google readers see a real person answering
- • Positive replies give a reason to come back (a dish, a booking tip)
- • The negative reply apologises, doesn't argue, and moves the details to email
- • No discounts in public, so you don't invite fake complaints
- • All replies are under 60 words, easy to read on a phone
How to do it with todo.is
- Copy the prompt and fill in your business details and sign-off.
- Paste your reviews or attach screenshots, then send it in todo.is or to your agent on WhatsApp or Telegram.
- Your agent returns a table with one reply per review.
- Copy each reply into your Google Business Profile. Ask for changes like "warmer" or "shorter" first.
- Make it weekly: "every Monday at 9, remind me to send you new reviews" so the backlog never builds up.
Tips for a better result
- Reply within a day or two when you can. Fast replies show other customers you are paying attention.
- Vary your openings. Twenty replies that all start with "Thank you for your kind words" look automated.
- Mention a dish, service or staff member in positive replies. It adds useful words to your profile naturally.
- Ask your agent to remember your tone and sign-off, so next week you just paste the new reviews.
Google review response generator: FAQ
- Should I reply to every Google review? Replying to all reviews, good and bad, is a common best practice. It shows future customers you care, and short replies are enough for simple star-only ratings.
- Do review replies help local SEO? Google says responding to reviews shows you value customers. Replies also add fresh, relevant text to your profile, though rankings depend on many other factors.
- Can todo.is post the replies on Google for me? Your agent writes the replies for you to copy and post. You stay in control of what appears on your profile.
- What should I never put in a review reply? Avoid customer health or order details, arguments, blaming staff by name, and public offers of money or freebies.
