Merge PDF files into one document, in the right order
A visa office, a lender or a client wants a single file, and you have seven separate PDFs plus a couple of scans. Send them to your todo.is agent: it puts them in the order you want, adds a bookmark for each part, keeps the size reasonable and gives you one PDF to upload.
The prompt
- Merge the attached PDF files into a single PDF: [ATTACH THE PDF FILES]. Put them in this order: [ORDER]. Add a bookmark for each original file using its name, and [COVER OR CONTENTS PAGE]. Keep every page at its original size and orientation, and rotate any page that is sideways. If the final file is over [SIZE LIMIT], compress the images without making text blurry. Name it [FILE NAME].pdf and tell me the page count, the page where each part starts and the final size.
What to change
- [ATTACH THE PDF FILES]: Attach the PDFs (up to 50 MB each). Photos or Word files work too: your agent turns them into PDF pages first.
- [ORDER]: E.g. "passport, bank statements, payslips, employer letter", "oldest to newest by date in the name" or "the order I sent them".
- [COVER OR CONTENTS PAGE]: E.g. "add a contents page listing each part", "add a cover page titled Visa Application, Ana Ruiz" or "no extra pages".
- [SIZE LIMIT]: E.g. "10 MB" for most upload portals, "20 MB" for email, or "no limit".
- [FILE NAME]: E.g. "Visa_Application_Ruiz_2026".
Example result
- Merged PDF: Visa_Application_Ruiz_2026.pdf
- 9 files in · 1 PDF out · 38 pages · 6.4 MB
- Contents (page 1)
- • Passport copy · page 2
- • Bank statements, May to July · pages 3 to 14
- • Payslips, May to July · pages 15 to 17
- • Employer letter · page 18
- • Travel insurance certificate · pages 19 to 22
- • Flight reservation · pages 23 to 24
- • Hotel bookings · pages 25 to 31
- • Cover letter · pages 32 to 33
- • Tax return 2025 · pages 34 to 38
- What your agent fixed on the way
- • Payslip June was a phone photo (JPG). It was cropped, straightened and turned into an A4 PDF page
- • Hotel booking page 3 was landscape and sideways. Rotated so it reads normally
- • Bank statements were 11.2 MB on their own because of scanned images. Images were recompressed at 150 dpi, so text stays sharp
- • Removed one blank page that was at the end of the insurance PDF
- How the file is built
- • Each part has a bookmark, so the reader can jump to it from the sidebar
- • Original page sizes kept: A4 for most parts, US Letter for the tax return
- • Links in the flight reservation still work
- • Form fields from the insurance PDF were flattened so they look the same in every viewer
- Before you upload
- • Flip through the contents page and check the order matches the checklist of the office
- • If the portal wants separate files per document type, ask your agent to split it back by bookmark
How to do it with todo.is
- Copy the prompt and write the order you want the files in.
- Attach all the PDFs on the Today screen in todo.is, or send them to your agent on WhatsApp or Telegram with the prompt.
- Your agent merges them, adds bookmarks, fixes sideways pages and checks the size.
- Download the PDF, or reply "move the tax return after the payslips" to change the order without sending the files again.
Tips for a better result
- Name your files with a number first (01_passport.pdf, 02_bank.pdf) and just say "order by file name". It avoids mix-ups.
- Upload portals often cap files at 5 or 10 MB. Give the limit in the prompt so your agent compresses only as much as needed.
- Ask for bookmarks even if nobody asked for them. Reviewers find what they need faster, and it costs nothing.
- If one of the PDFs has a password, include it in the message. Your agent cannot merge a locked file without it.
merge PDF: FAQ
- Can I merge PDFs with different page sizes? Yes. Each page keeps its own size and orientation in the merged file, unless you ask for everything to be fitted to A4 or Letter.
- Can I merge Word files, photos and PDFs together? Yes. Your agent converts Word, Excel, JPG, PNG or HEIC files to PDF pages first, then merges everything in your order.
- Will merging reduce the quality of my PDF? Merging by itself does not change quality. Only if you set a size limit does your agent recompress images, and it keeps text sharp.
- Is there a limit on how many PDFs I can merge? Each upload can be up to 50 MB. For very large sets, send the files in a few messages and ask your agent to merge them all at the end.
