Proofread a document and get every fix as a tracked change
Your report, thesis chapter or grant application is due tomorrow and you have read it so often you no longer see the typos. Your todo.is agent proofreads the file and marks each fix as a tracked change in Word, so you stay in control. It also checks consistency: spelling variants, numbers, names, capitals and references.
The prompt
- Proofread the attached document: [ATTACH THE DOCUMENT]. Use [ENGLISH VARIANT] and [STYLE GUIDE]. Fix spelling, grammar, punctuation and typos, and check consistency of names, numbers, dates, capitalization and hyphenation. Make every change as a tracked change in Word so I can accept or reject it. [HOW MUCH TO CHANGE]. Add comments for unclear sentences instead of rewriting them. Then give me a short summary of the most common mistakes.
What to change
- [ATTACH THE DOCUMENT]: Attach a Word file, PDF or Google Doc export (up to 50 MB). PDFs get proofread and returned as Word.
- [ENGLISH VARIANT]: E.g. "US English", "UK English", "Australian English".
- [STYLE GUIDE]: E.g. "APA 7th", "Chicago", "AP style", "our house style (attached)" or "no specific style".
- [HOW MUCH TO CHANGE]: E.g. "only fix errors, don't change my wording", or "also tighten wordy sentences".
Example result
- Proofreading report: Annual_Report_draft.docx
- 18 pages · UK English · house style: no Oxford comma · 87 tracked changes · 9 comments
- Most common issues
- • Mixed spelling (21): "organization" and "organisation" both used. Set to UK "-ise" throughout, also "program" → "programme"
- • Punctuation (18): missing commas after introductory phrases, two double spaces after full stops, and serial commas removed to match house style
- • Number style (12): "5 per cent", "5%" and "five percent" all appeared. Set to "5%" in tables and "5 per cent" in text, numbers under ten in words
- • Capitalization (9): "Board" vs. "board", "Chief Executive" vs. "chief executive". Capitalized when it is the title of your own board or officer
- • Typos (8): "teh", "recieve", "managment", "there" for "their" (page 6)
- Consistency checks
- • Names: "Ms Patel" on page 3 and "Mrs Patel" on page 11. Comment added: which is correct?
- • Figures: total income is £1.24m in the summary but £1.42m in the table on page 14. Comment added: please check, probably a typo
- • Dates: "March 2026" and "03/2026" both used. Set to "March 2026"
- • Cross-references: "see section 4.3" points to a section that is now 4.4
- Comments (no changes made)
- • Page 5, paragraph 2: the 52-word sentence is hard to follow. Consider splitting after "partners"
- • Page 9: "significant growth" without a figure. Add the number?
- What was not changed
- • Your wording and tone, as asked
- • Quotes from other people, kept exactly as written
- How to review
- • In Word, use Review, then Next to go through each change, and Accept or Reject
How to do it with todo.is
- Copy the prompt and pick your English variant and style.
- Attach the file in todo.is on the Today screen, or send it to your agent on Telegram, WhatsApp or by email with the prompt.
- Your agent proofreads it and returns a Word file with tracked changes and comments.
- Review the changes in Word, or reply "accept all spelling fixes and send me a clean copy".
Tips for a better result
- Say "don't change my wording" if you only want errors fixed. Otherwise you may get style edits too.
- Name your variant (US or UK) and style guide. Many "errors" are really just inconsistency between two correct styles.
- Ask for a check of numbers between text and tables. Mismatched figures are the mistakes readers notice most.
- For academic work, check your school's rules on proofreading help. Fixing language is usually allowed, rewriting content may not be.
proofread a document: FAQ
- Can AI proofread a Word document with tracked changes? Yes. Your agent edits the .docx itself and records each fix as a tracked change, so you can accept or reject them one by one.
- Can it proofread a PDF? Yes. Your agent reads the PDF, then returns a Word file with the corrections, or a list of fixes by page if you prefer.
- Will it change my writing style? Only if you ask. You can limit it to spelling, grammar and punctuation, and get comments instead of rewrites.
- Can it follow APA, Chicago or AP style? Yes. Name the style guide, or attach your house style, and your agent applies its rules for numbers, capitals and punctuation.
