Sponsorship email that gets brands to say yes
Brands get many sponsorship emails, and most read like a mass request for money. Yours needs to show who your audience is, why it fits that brand and what they get for each package. Your todo.is agent researches each potential sponsor and writes a short sponsorship email plus a one-page sponsorship deck you can attach.
The prompt
- Write a sponsorship email to [BRAND NAME AND WEBSITE] for [YOUR EVENT, TEAM OR CHANNEL]. My audience: [AUDIENCE SIZE AND WHO THEY ARE]. Research the brand's products, target customers and past sponsorships, and explain in 2 sentences why my audience fits them. Offer these packages: [SPONSORSHIP PACKAGES]. The deadline to confirm is [DEADLINE]. Keep the email under 160 words with a clear subject line and ask for a short call. Also make a 1-page sponsorship sheet as a PDF with audience facts, the packages and what sponsors get, plus a follow-up email for 6 days later. Save the email as a Gmail draft with the PDF attached. Do not send it.
What to change
- [BRAND NAME AND WEBSITE]: E.g. "Cedar Brew Coffee, cedarbrew.com".
- [YOUR EVENT, TEAM OR CHANNEL]: E.g. "Riverside Half Marathon, 12 April" or "my cycling YouTube channel".
- [AUDIENCE SIZE AND WHO THEY ARE]: Real numbers, e.g. "2,500 runners aged 25-45, 8,000 newsletter readers".
- [SPONSORSHIP PACKAGES]: E.g. "Gold $3,000: logo on bibs and finish arch; Silver $1,500: booth and newsletter mention".
- [DEADLINE]: E.g. "31 January, when bibs go to print".
Example result
- Research notes
- • Cedar Brew sells cold brew cans in grocery stores across the region
- • They sponsored a local cycling event last summer and posted about it on their blog
- • Their ads target active people aged 25 to 45
- The email
- Subject: 2,500 runners and a cold brew at the finish line
- Hi Marcus,
- I organise the Riverside Half Marathon on 12 April. We expect 2,500 runners, most aged 25 to 45, plus around 4,000 friends and family at the finish.
- I saw Cedar Brew sponsored the Valley Cycle Day last year. Our runners are the same active crowd, and a cold brew at the finish line would be a natural fit.
- Two options are open:
- • Gold: logo on every race bib and the finish arch, a sampling stand, 3 newsletter features
- • Silver: a sampling stand and 1 newsletter feature
- The details are in the attached one-page sheet. Bibs go to print on 31 January.
- Could we have a 15-minute call next week?
- Best,
- Laura Nguyen
- Race Director, Riverside Half Marathon
- Follow-up (6 days later)
- Hi Marcus, following up on the Riverside Half. If a full package is too much this year, we could also offer a sampling stand only. Happy to talk options.
- What the sponsorship sheet includes
- • Audience: who, how many, where they come from (use your own real numbers)
- • Packages with what the sponsor gets, as a short table
- • Past sponsors and photos, if you have them
- • Key dates and contact details
How to do it with todo.is
- Copy the prompt and fill in the brand, your event or channel, your audience and packages in the [brackets].
- Paste it into todo.is or send it to your agent on WhatsApp. Attach last year's photos or stats if you have them.
- Your agent researches the brand, writes the email and a follow-up, and makes the PDF sheet.
- Review the draft and send it yourself. Run the to-do again for each brand on your list.
Tips for a better result
- Use honest, specific audience numbers. Brands check, and a smaller real audience beats an inflated one.
- Explain the fit in their terms: their customers, their products, their past sponsorships.
- Offer at least two packages, including a smaller one. It turns "no" into "maybe the smaller one".
- Contact brands early. Many plan sponsorship budgets months ahead.
- Ask your agent to "find 15 local brands that sponsored similar events" to build your list.
sponsorship email: FAQ
- How do I write an email asking for sponsorship? Introduce your event or channel, give real audience numbers, explain why it fits the brand, list clear packages and ask for a short call. Attach a one-page sponsorship sheet.
- What should a sponsorship package include? What the sponsor gets (logo placement, mentions, a stand, content), the price, and dates. Two or three tiers are common.
- When should I ask for sponsorship? Three to six months before an event is common, since brands plan budgets ahead. For content creators, any time works, but pitch seasonal products early.
- Is this different from a sponsorship request letter? A letter is more formal and often for charities or schools. An email is shorter and suits brand deals, events and creators.
