Event poster with a lineup, schedule and a matching series
A gig with four bands, a conference with eight speakers or a monthly club night all need posters with lots of names that still read in a glance. This prompt has your todo.is agent set a clear text hierarchy, design artwork that fits the scene, place every name and date as exact type, and set it up so the next edition only needs new details.
The prompt
- Design an event poster for [EVENT NAME], a [EVENT TYPE]. When and where: [DATE TIME VENUE]. Headliner or main speaker: [TOP BILLING]. Other names, in order: [OTHER NAMES]. Tickets: [TICKET INFO]. Visual direction: [VISUAL DIRECTION]. Set a clear hierarchy: event name and top billing biggest, then date, then the other names smaller in a tidy block, ticket info last. Use AI for the artwork only and add every name, date and price as real type with exact spelling. Deliver an A3 print PDF with bleed, an 11 x 17 in version if I'm in the US, and a 1080 x 1350 PNG. Also save a blank template version so future editions only need new text.
What to change
- [EVENT NAME]: E.g. "Low Tide Sessions #7", "Midlands Data Summit 2026".
- [EVENT TYPE]: E.g. "live music night with 4 local bands", "one-day tech conference", "techno club night", "comedy show".
- [DATE TIME VENUE]: E.g. "Sat 18 April · doors 19:00 · The Foundry, Leeds".
- [TOP BILLING]: The headliner or keynote, e.g. "The Velvet Arcade" or "Dr. Imani Brooks, keynote".
- [OTHER NAMES]: Support acts, speakers or DJs in billing order, separated by commas.
- [TICKET INFO]: E.g. "£12 advance · £15 on the door · tickets at lowtide.example", or "free, register online".
- [VISUAL DIRECTION]: E.g. "risograph print look, two colours, surf and ocean", "clean tech, gradients", "acid graphics, neon green".
Example result
- Poster for Low Tide Sessions #7
- Live music night · Sat 18 April · doors 19:00 · The Foundry, Leeds · risograph look, teal and coral
- Text hierarchy, top to bottom
- • LOW TIDE SESSIONS #7: series name, top, condensed bold, 120 pt at A3
- • THE VELVET ARCADE: headliner, the biggest name on the poster after the series title
- • with Marrow Lane · Kites Over Leith · June Okoye: support acts in one line, about 40% of the headliner's size
- • SAT 18 APRIL · DOORS 19:00 · THE FOUNDRY, LEEDS: one strong band across the middle
- • £12 advance · £15 on the door · lowtide.example: small, bottom, with a QR code to the ticket page
- The artwork
- A big curling wave printed in overlapping teal and coral, with the grain and slight misregistration of a two-colour risograph print. A small surfer silhouette inside the curl. Off-white paper texture background.
- Why it works on a wall
- • Readable in about three seconds: series, headliner, date
- • Billing order kept exactly as given, which matters to bands and agents
- • Two colours only, so it also prints well and cheaply on a real risograph
- Files delivered
- • low_tide_sessions_7_a3.pdf: 297 x 420 mm with 3 mm bleed
- • low_tide_sessions_7_insta.png: 1080 x 1350
- • low_tide_sessions_7_story.png: 1080 x 1920, text kept in the centre
- • low_tide_template_blank.png: the artwork with empty text areas
- For a conference poster the agent switches to
- • Event name and theme, then the keynote with a headshot, then a grid of speaker names and talk titles
- • Date, venue and "Register free" with a QR code
- • A cleaner layout with more white space and a sans serif type family
How to do it with todo.is
- Copy the prompt and fill in the event, date, venue, billing, ticket info and visual direction.
- Paste it on the Today screen in todo.is; attach band photos, speaker headshots or logos to include.
- Check every name and the billing order, then download the A3 PDF and social versions.
- For the next edition, send the new details and ask for "poster #8 from the template". You can also make it a recurring monthly to-do.
Tips for a better result
- Send names in billing order and check spellings with each act or speaker. Wrong billing is the fastest way to upset a lineup.
- Keep ticket info to one line. Put details like age limits and accessibility in the event page linked by the QR code.
- Design a series look: same layout and fonts with a new colour each edition, so regulars spot it instantly.
- Ask for an animated version (a short MP4 loop) for Stories in the week before the event.
event poster: FAQ
- What size should an event poster be? A3 (297 x 420 mm) is common in Europe and 11 x 17 in in the US for venues and shop windows. Large venue posters are often A2 or 18 x 24 in.
- How do I fit many names on a poster? Use a clear hierarchy: one big headliner or keynote, then smaller names in a neat block, and keep everything else short. Your agent sizes text by billing order.
- Can I reuse the design for every event? Yes. Your agent saves a blank template and remembers the style, so each new poster only needs the new date, names and colour.
- Can it print or put up the posters? No. Download the PDF and send it to a print shop or print it yourself. Your agent can find print shops near you with links if you ask.
