Feedback request email customers will actually answer
You want to know what customers really think, but long surveys get ignored and vague "any feedback?" emails get vague answers. Your todo.is agent writes a short feedback request email with one or two focused questions, sent at the right moment, and can collect the replies from Gmail into a spreadsheet afterwards.
The prompt
- Write a feedback request email for [WHO YOU ARE ASKING], who [WHAT THEY DID WITH YOU]. I want to learn [WHAT YOU WANT TO LEARN]. Write a short email under 110 words with a personal first line, why their answer matters, how long it takes, and 1 to 3 questions they can answer by simply replying. Also write a 5-question survey version for [SURVEY TOOL OR FORMAT], with one 0-10 rating question and the rest open questions. Thank-you line at the end, no pressure. Then, starting 3 days after I send it, check my Gmail every morning for replies to this email and add each answer to an Excel file with name, date, rating and main point. Send me the file every Friday on WhatsApp.
What to change
- [WHO YOU ARE ASKING]: E.g. "clients whose website project finished last month" or "customers who bought in the last 30 days".
- [WHAT THEY DID WITH YOU]: E.g. "finished a 3-month coaching program with me".
- [WHAT YOU WANT TO LEARN]: E.g. "what almost stopped them from buying and what they would change".
- [SURVEY TOOL OR FORMAT]: E.g. "Google Forms", "Typeform" or "a simple list I paste into an email".
Example result
- The email
- Subject: 2 minutes to help shape the program?
- Hi Chloe,
- It was great working with you over the last three months, and I loved seeing you land the team lead role.
- I am updating the coaching program for next year and your view would help a lot. Could you reply with short answers to these three questions? It takes about 2 minutes.
- • What was the most useful part of the program for you?
- • What almost made you not sign up?
- • If you could change one thing, what would it be?
- Honest answers help most, even critical ones. Thank you!
- Best,
- Oliver
- Survey version (5 questions)
- • How likely are you to recommend the program to a friend? (0 to 10)
- • What was the main problem you wanted to solve when you joined?
- • Which session or exercise helped you most?
- • What was missing or could have been better?
- • Anything else you would like me to know?
- Example of the Friday feedback file
- • Chloe M., 14 Oct, rating 9: the mock interviews helped most; wants more templates
- • Raj P., 15 Oct, rating 7: almost did not join because of price; sessions felt too long
- • Main themes this week: mock interviews valued, session length a concern
- Tips on timing
- • Ask right after a result: delivery, project end, first month of use
- • Avoid Mondays and holidays
- • One gentle reminder after a week is fine; more is too much
How to do it with todo.is
- Copy the prompt and fill in who you are asking and what you want to learn in the [brackets].
- Connect Google in todo.is, then paste the to-do into the app or send it on WhatsApp.
- Your agent writes the email and survey, then checks Gmail for replies on a schedule and builds an Excel file.
- Send the email yourself. When you have enough answers, tell your agent to stop the recurring check.
Tips for a better result
- Ask fewer questions. Three reply-to-answer questions often get more and better responses than a 15-question survey.
- Ask about behaviour, not opinions: "what almost stopped you?" teaches more than "did you like it?".
- Send it soon after a key moment, like a delivery or the end of a project, while memories are fresh.
- Reply to people who answer, especially critical ones. It shows the feedback is real and builds trust.
feedback request email: FAQ
- How do you politely ask for feedback by email? Be personal, say why their opinion matters, say how long it takes and keep it to a few questions they can answer by replying. Thank them either way.
- What questions should I ask in a feedback email? Open questions about what helped, what almost stopped them and what to change, plus one rating question if you want to track it over time.
- How many questions should a feedback survey have? Five or fewer for most customer surveys. Short surveys get more completed answers.
- Can my agent summarize the feedback? Yes. It can read the replies in your Gmail or an export from your survey tool and give you themes, quotes and a spreadsheet.
