Follow up email after interview when you have not heard back
The interview went well, the date they gave you has passed, and your inbox is quiet. This prompt has your todo.is agent write a short, confident check-in that reminds the hiring manager who you are, adds one useful point, and asks about the timeline. It can also plan a second nudge if there is still no reply.
The prompt
- Write a follow up email after my interview for the [JOB TITLE] role at [COMPANY]. I interviewed with [INTERVIEWER NAME AND ROLE] on [INTERVIEW DATE], and they said they would decide by [THEIR TIMELINE]. Remind them of one thing we discussed: [A TOPIC FROM THE INTERVIEW]. Keep it under 110 words, warm and confident, with a clear subject line and one question about next steps. Also write a shorter second follow-up for 7 days later in case there is no reply. If my Google account is connected, find the original thread in Gmail and save the first email as a draft reply there. Do not send it. Remind me on WhatsApp on the day to send the second one.
What to change
- [JOB TITLE]: The exact job title from the posting, e.g. "Senior Product Designer".
- [COMPANY]: The company name, e.g. "Harbor Health".
- [INTERVIEWER NAME AND ROLE]: Who you met, e.g. "Priya Nair, Design Director". Add the recruiter too if they set up the interview.
- [INTERVIEW DATE]: The day of the interview, e.g. "Tuesday 14 October".
- [THEIR TIMELINE]: What they told you about timing, e.g. "the end of next week". Write "not sure" if they did not say.
- [A TOPIC FROM THE INTERVIEW]: Something specific you talked about, e.g. "the redesign of their patient booking app".
Example result
- Email 1: status check
- Subject: Following up on the Senior Product Designer role
- Hi Priya,
- I hope your week is going well. I wanted to follow up on our conversation last Tuesday about the Senior Product Designer role. I am still very interested, especially after our talk about simplifying the patient booking flow.
- Since then I sketched a quick idea for cutting the booking steps from five to three. Happy to share it if useful.
- Could you let me know where things stand with the timeline?
- Thank you,
- Daniel Okafor
- Email 2: second nudge (7 days later)
- Subject: Re: Following up on the Senior Product Designer role
- Hi Priya, I know hiring takes time and you have a lot on your plate. I just wanted to say I am still keen on the role. If the decision has moved, I would be grateful for a quick update either way.
- Best,
- Daniel
- When to send
- • Send email 1 one or two working days after the date they gave you, or about a week after the interview if they gave none
- • Send email 2 a week later, in the same thread
- • After that, stop. A third email rarely helps and can hurt
- Why it works
- • It names the role and the date, so a busy manager places you in seconds
- • It adds something new (the sketch) instead of only asking
- • One clear question makes it easy to reply
How to do it with todo.is
- Copy the prompt and fill in the [brackets] with the role, the interviewer and what you talked about.
- Paste it on the Today screen in todo.is, or message it to your agent on WhatsApp or Telegram.
- Your agent writes both emails and saves the first as a draft in the right Gmail thread.
- Read it, change any detail that does not sound like you, and send it yourself when the day comes.
Tips for a better result
- Wait until the date they gave you has passed. Following up a day early can look impatient.
- Reply in the same thread as the interview invite so the full context is one click away.
- If a recruiter organised the interview, follow up with the recruiter first. They usually know the real status.
- Add one new thing, like a short idea, a link to relevant work or an answer you wish you had given better.
- Ask your agent to "watch my Gmail for a reply from Harbor Health and tell me on WhatsApp" so you stop refreshing your inbox.
follow up email after interview: FAQ
- How long should I wait to follow up after an interview? If they gave you a date, wait one or two working days after it. If they gave no date, about a week after the interview is a common, polite gap.
- What if I still hear nothing after two follow-ups? Stop emailing and keep applying elsewhere. Silence is often slow internal process, and a third message rarely changes the outcome.
- Is a follow-up email the same as a thank-you email? No. A thank-you goes out within 24 hours of the interview. A follow-up comes later, when the expected decision date has passed.
- Will todo.is send the email for me? Only if you ask and approve it. By default your agent saves a Gmail draft and reminds you, so you stay in control.
