Resignation letter generator: leave on good terms
A resignation letter is short, but getting the tone right is hard when you are nervous. This prompt has your todo.is agent write a clear, kind letter with the right notice date and a handover offer, plus a shorter email version for your manager.
The prompt
- Write my resignation letter. I am [YOUR NAME], [JOB TITLE] at [COMPANY NAME], and my manager is [MANAGER NAME]. I am handing it in on [DATE YOU RESIGN] and my notice period is [NOTICE PERIOD], so work out my last working day. Reason, if any: [REASON OR LEAVE IT OUT]. Keep it under 200 words, positive and professional, thank them for [SOMETHING YOU ARE GRATEFUL FOR], and offer to help with the handover. Give me a Word file and a PDF to sign, plus a 3-sentence email I can send my manager before we talk.
What to change
- [YOUR NAME]: Your full name for the signature.
- [JOB TITLE]: Your current role.
- [COMPANY NAME]: Your employer’s name.
- [MANAGER NAME]: Who the letter is addressed to.
- [DATE YOU RESIGN]: The day you hand it in, e.g. "Monday 3 November".
- [NOTICE PERIOD]: From your contract, e.g. "4 weeks" or "one month".
- [REASON OR LEAVE IT OUT]: E.g. "new role closer to home". Write "leave it out" if you prefer not to give one; you do not have to.
- [SOMETHING YOU ARE GRATEFUL FOR]: A real detail, e.g. "the chance to lead the website relaunch".

- Dear Tom,
- Please accept this letter as formal notice of my resignation from my role as Office Manager at Brookfield Dental. In line with my four-week notice period, my last working day will be Friday 28 November.
- I have accepted a new role closer to home, and it was not an easy decision. Thank you for trusting me to set up the second clinic last year. It is the project I am proudest of, and I learned a great deal from working with you.
- Over the next four weeks I will do everything I can to make the handover smooth. I can write up our supplier contacts and booking processes, and I am happy to help train whoever takes over.
- I wish you and the whole team all the best.
- Kind regards,
- Emma Lind

How to do it with todo.is
- Copy the prompt and put your own details in every [bracket].
- Paste it on the todo.is Today screen, or send it to your agent on Telegram or WhatsApp.
- Your agent works out your last day and gives you a Word file, a PDF and a short email.
- Want a different tone? Reply "more formal" or "remove the reason" and it rewrites it.
Tips
- Attach your contract and ask your agent to check the notice period and holiday rules in it.
- Keep the reason short or leave it out. A resignation letter is not the place for complaints.
- Ask for a handover checklist too, so your last weeks are calm and your manager remembers you well.
- If your notice ends on a weekend or holiday, ask your agent to show you the date options.
FAQ
- How much notice should I give when I resign? Follow your contract. Two weeks is common in the US, while one month or more is common in the UK and Europe. The prompt uses your notice period to set the last day.
- Do I have to give a reason for resigning? No. A reason is optional, and many people simply say they have accepted a new opportunity. Write "leave it out" in the prompt if you prefer.
- Should I email my resignation letter or print it? Tell your manager in person or on a call first. Then send the letter by email or hand over a signed copy, whichever your company prefers.
- Can my agent send the letter for me? If you connect Google, it can prepare the email in Gmail. It always asks for your OK before sending anything.
